A business or family office may have several uses for each distribution it receives.

Some money may support current expenditure. Some may be retained for future obligations. Another part may be considered for a new approved allocation.

The useful decision is how to distinguish those purposes before money begins moving.

Give the reserve a job

A treasury reserve should have an identifiable purpose: operating resilience, a planned asset purchase or expenditure expected later in the year.

The purpose helps determine who can authorise its use and which asset or currency the organisation needs to hold. A reserve intended for a fixed fiat obligation may require a different arrangement from money retained for an optional future purchase.

The organisation should assess those choices within its own treasury policy and adviser framework.

Separate accessible money from committed allocations

Under a programme agreement, the qualifying balance may need to remain in place throughout the term. That commitment should be visible alongside the money the organisation can use elsewhere.

Paid output can be considered for a reserve once the agreed allocations and costs have been addressed. Forecast distributions should remain identified as uncertain future receipts.

This prevents a treasury plan from overstating the resources available to meet an immediate obligation.

Make reinvestment an explicit decision

Retaining money in a reserve and increasing a programme allocation are different actions. A new allocation can create additional restrictions, approval requirements and a higher balance to maintain.

The relevant decision-makers should understand that change before instructing it. The agreement and reporting need to show where the money is held and what conditions now apply.

For project-led arrangements, reserve releases should also follow the approved waterfall and payment authority. The reserve should not become an informal source for unagreed expenditure.

If you have a qualifying position and want distributions to serve several purposes, send an outline of the intended allocations and time horizons. We can then explore how to document those uses clearly within a proposed structure.

Treasury use and reinvestment require the owner's assessment and the relevant approvals. Future distributions are not guaranteed available reserves.
